Privacy Policy for Fun Flair Festivals (Global Baseline)

Fun Flair Festivals are operated by We Make Footballers® Ltd and/or local We Make Footballers group companies, franchisees, or event partners (together, “Fun Flair Festivals”, “we”, “us”, “our”). The local event organiser and their contact details will be shown on the registration page for the specific Festival you book.

This Privacy Policy explains how we collect, use, store, share, and protect personal data when you register for, attend, or interact with Fun Flair Festivals (including our websites, registration tools, and event services). It applies globally, with extra protections depending on local law. If there is any conflict, the relevant local law takes priority.

2. Information we collect

Because Fun Flair Festivals involve children, we treat all participant data with extra care.

2.1 Information you provide to us

Child/participant information (as relevant to the Festival):

  • Full name
  • Date of birth (or age bracket, if used in a specific country)
  • Postcode (or equivalent location field)
  • Team/group details (if the Festival includes grouping)
  • Medical or support information you choose to provide (for safety)

Parent/guardian information:

  • Name
  • Email address
  • Phone number
  • Emergency contact details
  • Registration details and any messages you send us

On-site identification:

  • A photo of your child wearing a name label (if used at that Festival to help match footage accurately)

2.2 Footage, images and recordings

Depending on the Festival format, we may collect:

  • Veo footage (or similar sports recording) of the event
  • Photos or video captured by our staff, contractors, or approved photographers
  • Incident-related recordings where needed for safeguarding and safety

2.3 Automatically collected information (online)

When you use our websites or registration pages, we may collect:

  • IP address and device information (browser, operating system)
  • Approximate location (derived from IP)
  • Site usage and engagement (pages visited, form interactions)
  • Email engagement (opens/clicks) where enabled

We typically collect this via cookies and similar technologies (see section 9).

2.4 Publicly available information

In limited situations and where lawful, we may use publicly available information to verify or investigate issues (for example, where there is a safeguarding concern or suspected fraud).

3. How we use your information

We use personal data for the following purposes:

3.1 Running the Festival

  • Processing registrations and managing attendance
  • Communicating essential Festival information (timings, venue, what to bring, changes)
  • Managing groups and on-site safety
  • Responding to enquiries and support requests
  • Admin, reporting, and service improvements

3.2 Scouting and performance review (where offered)

If the Festival includes a scouting element, we may use data to:

  • Identify a child within Veo footage (for example using name label photo, name, DOB, postcode)
  • Share relevant information with scouts after the event
  • Enable scouts to assess performance and (if interested) contact the parent/guardian

Important: Scouting-related sharing is only done where you have provided the required parental consent (see section 4 and section 5).

3.3 Safeguarding, safety and incident management

  • Preventing and responding to safety incidents
  • Investigating complaints and behavioural issues
  • Meeting safeguarding responsibilities and cooperating with authorities where required

3.4 Marketing (only where permitted and based on your choices)

We may send updates about future Festivals or related opportunities only where permitted by local law and your preferences. We do not use children’s data for direct marketing.

4. Legal basis for processing

Where laws require a lawful basis (for example UK/EU-style GDPR regimes), we rely on one or more of the following:

  • Contractual necessity – to process registrations, deliver the Festival, and provide customer support
  • Consent – for scouting-related sharing, optional recordings beyond core event delivery, and optional cookies/marketing where required
  • Legitimate interests – to improve events, ensure site performance, prevent fraud, and support internal operations (balanced against your rights)
  • Legal obligations – safeguarding, incident reporting, tax/accounting (where relevant), and regulatory compliance

4.1 Children’s data and parental consent

Where required, we rely on parent/guardian consent to collect and share children’s data for specific purposes (especially scouting-related sharing and certain recordings). You can withdraw consent at any time (section 10), but withdrawal does not affect processing that occurred before you withdrew it.

5. Recording, photography and Veo footage

5.1 What we record and why

We may record and/or photograph Festivals for:

  • Event delivery (for example Veo coverage where part of the Festival format)
  • Performance review and coaching development
  • Scouting (only where a scouting element is offered and consent is in place)
  • Safeguarding, security and incident review
  • Marketing and promotion (only where permitted and with the right consent or notices)

5.2 Your choices

If you do not want your child recorded or photographed, contact us at info@wemakefootballers.com before the Festival where possible. We will make reasonable efforts to respect requests, but in busy group environments (wide-angle shots, background footage) it may not be possible to remove all incidental inclusion.

If a Festival includes scouting footage as a core feature, opting out of that footage may limit participation in the scouting element. We will explain the options during registration.

6. Sharing your information

We do not sell personal data.

6.1 Scouts and scouting recipients

Where the scouting element is offered and consent is in place, we may share relevant information with:

  • Scouts, clubs, academies, or partner organisations involved in talent identification
  • Approved analysts reviewing footage on behalf of scouts/clubs

Scouts and partners must agree to appropriate confidentiality and data protection terms, including not sharing or misusing data.

6.2 Service providers (processors)

We use trusted third parties to help run Festivals and operate our digital services. Depending on the country and the setup, these may include providers for:

  • Registration forms and data capture
  • Email and SMS communications
  • Hosting and storage (cloud hosting)
  • Analytics tools
  • Automation and integrations
  • Video platforms (including Veo)
  • Customer support tooling
  • Payment processing (where a Festival fee applies)

These providers process data on our behalf and are required to protect it and only use it for the services they provide to us.

6.3 Legal and safety sharing

Typical retention (may vary by jurisdiction and circumstances):

  • Festival registration and operational records: usually up to 24 months after the event (to handle enquiries, reporting, and admin), unless a longer period is required
  • Scouting data and matching materials (for example name label photos and shared scouting packs): usually up to 6 months after the event, unless otherwise agreed or needed for an ongoing scouting discussion you have requested
  • Footage (including Veo): typically up to 12 months, unless a shorter or longer period is communicated for that specific Festival, or required for safeguarding/legal reasons
  • Safeguarding and incident records: may be kept longer where necessary to protect participants and meet legal obligations
